5. Information Required for Bookings

Certain personal information is necessary to assess booking requests and provide our services.

For our Equine & Wildlife Holiday Programme, we generally require information about riding experience, age, height and weight to assess riding suitability.

Additional information, such as flight details and travel insurance information, may be requested closer to arrival.

Information may be collected at different stages depending on whether a booking is made directly or through a travel agent.

If necessary information is not provided, we may be unable to assess riding suitability, confirm particular arrangements or provide certain requested services.

Information requested for optional purposes will be identified separately where appropriate.

6. Online Booking Systems

Our main website is:

africandreamhorsesafari.co.za

Equine & Wildlife Holiday Programme enquiries and bookings are managed through our separate booking application at:

https://bookings.africandreamhorsesafari.co.za

The booking application was developed using Lovable and operates using Lovable Cloud infrastructure.

Public Horseback Trails bookings are currently processed through Activitar, a third-party tourism booking platform.

These systems may collect and process information required to manage reservations and associated transactions.

7. Sharing Information with Third Parties

We may share relevant personal information with service providers and business partners where reasonably necessary to provide requested services or meet legal obligations.

Depending on the service, these may include:

  • Online booking and application hosting providers
  • Payment processing providers
  • Travel agents and authorised booking representatives
  • Accommodation, transport and excursion providers
  • Accounting, financial and professional service providers
  • Email, website hosting and technical support providers
  • Public authorities where disclosure is required or authorised by law

We aim to limit information sharing to what is relevant for the intended purpose.

Third-party providers may operate under their own privacy notices and legal responsibilities.

We do not sell guest personal information to advertisers.

8. International Data Storage and Transfers

Our Equine & Wildlife Holiday Programme booking application uses Lovable Cloud.

According to infrastructure information supplied by Lovable, the production database is hosted on Amazon Web Services infrastructure in Paris, France, within the European Union.

Booking and guest information stored in this database is therefore held outside South Africa.

The booking application also uses Cloudflare infrastructure to deliver online services, which may involve processing technical information through an international network.

Other service providers may process information in South Africa or internationally, depending on their services and infrastructure.

International transfers of personal information are subject to applicable legal requirements, including Section 72 of POPIA.

Where required, we will rely on an applicable lawful transfer mechanism and appropriate safeguards for international processing.

9. Website Cookies and Analytics

Our main WordPress website does not currently use Google Analytics or Meta Pixel.

However, our website, hosting environment and security services may use essential cookies or process technical information necessary for website functionality, administration and security.

Our separate Lovable booking application includes built-in website analytics, which provide information about visits and application usage.

If we introduce additional advertising, analytics or marketing technologies in the future, we will review the relevant privacy requirements, update this policy and implement any required consent or preference controls.

10. Guest Photographs, Videos and Testimonials

Photographs and videos are an important part of sharing the African Dream Horse Safari experience.

We may take photographs and videos during guest activities and stays. We also welcome photographs, videos and testimonials voluntarily shared by guests.

We ask guests for their permission before using identifiable photographs or videos featuring them for promotional purposes, including social media, our website and other marketing materials.

Permission is voluntary, and guests may decline without affecting their experience with us.

Guests may withdraw their consent for future promotional use by contacting us at info@africandreamhorsesafari.co.za. We will address requests concerning previously published content where reasonably possible, subject to applicable legal and practical limitations.

11. Marketing Communications

We currently use email primarily for responding to enquiries, managing bookings, providing travel and activity information and corresponding with guests, agents and suppliers.

We do not currently operate a regular promotional newsletter or automated marketing email programme.

If we introduce promotional email campaigns in the future, we will review the applicable consent and direct marketing requirements and provide appropriate communication preferences.

12. How Long We Retain Information

We retain booking and guest information to support our operations, accounting obligations and ongoing relationships with guests.

Historical guest records, including previous stays and programme participation, are currently retained to help us recognise returning guests and provide continuity of service.

We recognise that different types of personal information may require different retention periods. We are reviewing our retention practices to distinguish between information needed for ongoing guest relationships, records required for legal or accounting purposes, and temporary information that is no longer necessary.

Personal information will be retained only where continued retention is permitted or required by applicable law, contractual obligations or other lawful business purposes.

Where there is no longer a lawful basis for retaining personal information, it should be securely deleted, destroyed or de-identified.

Guests may contact us to request information about retained records or to exercise their rights under applicable privacy legislation.

13. How We Protect Personal Information

We recognise the importance of protecting guest and booking information.

We use website security tools, controlled system access and managed hosting services to support the security of our digital systems.

We also maintain backups of relevant business systems to assist with recovery in the event of technical problems or data loss.

We aim to implement appropriate technical and organisational safeguards against unauthorised access, loss, misuse, alteration or disclosure of personal information.

We review our information security arrangements as our systems and operating requirements evolve.

No online system can be guaranteed to be completely secure.
